What does learning story software cost a centre?

Most early childhood platforms bill per child, per month, so the price rises every time you enrol someone. Drafting tools tend to bill per educator or as a flat centre fee, which does not. StoryLoop is the second kind: NZ$109 a month covers ten educators and unlimited children, which works out at about NZ$10.90 per educator.

Start with what actually happened: one action, quote, attempt, change, or question. A polished observation is never required.

StoryLoop drafts and checks. The educator reviews, edits, decides what is true, and chooses whether anything is shared.

What StoryLoop does with a note

A rough note in, a learning story out.

A real note an educator typed, and the start of the draft StoryLoop wrote from it, unedited, with the Te Whāriki links, learning and next steps to follow.

The draft, as StoryLoop wrote it

Putting on her own shoes

Before going outside, Aroha tried to put her shoes on by herself. The Velcro kept folding over, making the job trickier. Aroha asked, "help me", letting us know clearly that she needed support.

When help was offered, Aroha pushed the adult hand away and did the second shoe herself. Once both shoes were on, she stood up and stomped both feet. This looked like Aroha checking that her shoes were on and feeling the result with her whole body.

Your draft appears here, with curriculum links that only claim what your note shows, usually in under a minute.

Tip: what the child did, one thing they said, and what happened next. Three lines is plenty.

About NZ$5.45 per educator a month while founding, and it does not move when your roll does. No per-child fee, no contract.

Per child and per educator pull in opposite directions

A per-child platform costs more as your roll grows, which is the opposite of how the work behaves: forty children do not create four times the documentation of ten if the same six educators are writing it. A per-educator or flat fee tracks the people actually doing the writing. Neither is dishonest, but they reward different services, and a growing centre should know which side of that line a quote sits on before signing.

Ask what happens when you enrol twenty more children

This is the single most useful question at a demo, and the answer is rarely on the pricing page. Ask for the monthly figure at your current roll and at the roll you expect in two years. On StoryLoop centre plans both numbers are the same, because children are unlimited and you are paying for educator seats.

Price the learning story work, not the platform

Most documentation platforms charge per child whether or not the writing gets easier. StoryLoop charges per team with unlimited children, and its value is in the hours a story no longer takes. Compare what each option costs per educator per month against the time it gives back, and include the cost of moving any history you need to keep.

Compare against relief cover, not against other software

The honest comparison for an additional tool is what else that money would buy. At NZ$109 a month a centre is weighing roughly three hours of relief cover against every educator getting drafting help all month. That is a decision a manager can usually make alone, which matters more than the number itself: it is the difference between a quick yes and a board paper.

Check what the centre can see

Worth asking of any tool: does buying it give management the right to read everything staff write? On StoryLoop centre plans, leadership sees that an educator is documenting and when, and sees the writing itself only for educators who turn sharing on. Documentation is professional work about real children, and a purchase order is not consent.

FAQ

Straight answers for directors.

What does learning story software cost a centre?+

Most platforms charge per child per month, so the figure depends on your roll. StoryLoop charges a flat centre fee: NZ$109 a month for ten educator seats and unlimited children, or NZ$219 for twenty-five seats.

Is it cheaper to buy a centre plan or individual educator plans?+

A centre plan, once you have about six educators. StoryLoop's Centre Starter works out at roughly NZ$10.90 per educator against NZ$21 for an individual plan, so it is around half the price per head.

Does the price go up when we enrol more children?+

Not on a flat centre plan. StoryLoop centre plans cover unlimited children, so the monthly figure does not change with your roll. Platforms that bill per child do increase as you enrol.

Can StoryLoop replace Storypark or Educa for learning stories?+

For writing, checking and sharing learning stories, yes, and it charges per team with unlimited children rather than per child. It does not host a family photo and video feed or enrolment records yet, so check what your centre relies on before switching everything.

Can management read what educators write?+

On StoryLoop, only if the educator turns sharing on. Centre leadership always sees activity, meaning how much someone is writing and when, and sees the content only with that educator's consent, which they can withdraw at any time.

Is there a free way to try it before committing a centre budget?+

Yes. The free plan includes three stories a month with no credit card, so an educator can test the output on a real observation before anyone signs anything.
